Main functions

According to current legislation, proceedings comprises the following stages:

 

a) Compilation of the nomenclature of cases; 

b) Formation of cases:

   - Preparation of documents; 

   - Registration and sending of documents; 

   - Completion of work on documents and formation of cases; 

   - Evaluative examination of documents; 

c) Transfer of cases to the archive.

 

Main functions include:

 

a) Implementation of a unified procedure for proceedings within the Academy, while adhering to the applicable legislation and legal acts; 

b) Documentation in accordance with standardized rules and norms for proceedings, including document handling, performance control, and the archiving of completed documents in physical form, along with inventory recording and regulation of document circulation; 

c) Improvement of forms and methods for working with documents; 

d) Implementation of electronic document circulation through the electronic document circulation program (e-mod) utilized at the Academy; 

e) Sorting, systematizing, storing, and inventorying official documents; 

f) Development of the nomenclature for the Chancellery (both confidential and non-confidential); 

g) Timely review of incoming documents and submission to management; 

h) Organization of the operational reproduction and distribution of documents; 

i) Recording, electronic processing and/or registration, sending, and monitoring the execution of incoming, outgoing, internal, confidential, and non-confidential documents; 

j) Locating documents stored in the Chancellery upon request and providing copies; 

l) Exercising other powers as defined by legislation within the scope of competence.
